Quote the vehicle as it actually works

Include registration, factory output, engine and gearbox, then describe normal payload and any conversion. A permanently equipped trade van does not have the same usage brief as an empty vehicle used mainly on motorway runs.

Explain where response is unsatisfactory and whether it has recently changed. A sudden loss of pulling power or new warning can be a diagnostic job. Share scans and recent repairs before asking for a map.

Confirm access before setting a downtime promise

The actual ECU hardware and software determine the current route. A supported OBD job can have different logistics from protected access or controller removal. The team confirms that method before scheduling an appointment.

State available days, whether the vehicle can stay at the workshop and what disruption is acceptable. For a fleet, identify each registration separately. Similar vans can have different controllers, updates and conditions.

Bring the transmission and service record

Describe clutch, flywheel or automatic symptoms, mileage and servicing. Increasing requested output is not a repair for a worn drivetrain. Supported gearbox calibration can be discussed as a separate part of the enquiry.

Include aftertreatment warnings, frequent limp mode and prior software work. An unknown map or unresolved fault can change the starting scope and the time needed to assess the vehicle.

Agree the complete work and location

Your quote should set out calibration, access, agreed checks and any travel or extra diagnostic work. Send full postcode and practical site access. Mobile availability and the booking are confirmed by the team.

Keep the accepted software record with the vehicle’s maintenance information. Tell the team before later hardware or dealer-software changes so a future enquiry starts from the correct specification.
